Add a task where the work comes up

Create a task from the Tasks list or straight from a lead, contact, company, deal or client, and it's linked to that record for good. Give it a title and description, a due time, a priority and a reminder, choose whether it repeats, and assign it to anyone on your team. For something quick, type a title into the add bar and press Enter — it's saved for you, due in two hours.

Open a task to see it in full. Notes explain what needs doing, and the details panel holds the owner, priority, due date, repeat, reminder and type — call, email, follow-up, meeting or to-do — each editable in place. Below, an activity feed shows when the task was created, completed and due, alongside recent calls, emails and meetings logged on the record it belongs to.

ASSIGN

Hand work over without a handover meeting

When someone is on leave or a customer moves to another rep, reassign one task from its menu or its page, or tick twenty in the list and move them together. The new owner is notified straight away, and a toast with Undo puts things back if you picked the wrong name. What each person can see follows their role, so reps see their own work and managers see their team's.

COMPLETE & SNOOZE

Finish it, reopen it or push it back

Tick the box to complete a task and it moves to Done; tick it again to reopen it if the job wasn't really finished. When today isn't the day, snooze a task for one, three or seven days and its due time moves to 09:00 on that morning. Select several tasks to complete them together or snooze them all by a day or three, and undo any of it from the toast.

REPEAT

Recurring tasks: set the routine once, and it comes back on time

Make any task with a due date repeat daily, weekly or monthly, and optionally set the day the series ends. The next task is created when the current one is completed, with the same owner, priority, reminder and record. If a weekly task is ticked off three weeks late, you get one new task due next week — not three that are already overdue — and a monthly task due on the 31st lands on the last day of shorter months.

Tasks that start, nudge and stop by themselves

Some tasks shouldn't depend on anyone remembering to create them. When a lead is assigned, its new owner gets a follow-up task on their list, and a workflow can add a task the moment a lead turns hot or a deal changes stage. Reminders reach the owner in the bell and on their phone, overdue work is checked every minute and flagged to the owner and up to three team leads or managers, and closing a deal cancels its open tasks.

Switch the Tasks list to the calendar to see tasks by day, week or month, with follow-ups alongside or hidden. Drag a task to another day to move its due date, or click an empty slot to create one already due at that time. On the DigiPix Flow mobile app, reps see their tasks by tab, add new ones, change status, reschedule and act on up to 25 at once.

Task questions, answered

What's the difference between a task and a follow-up?

A follow-up is the next touch with a customer — a call, message, meeting or visit — and records an outcome when it's done. A task is any piece of work with an owner and a due date, such as sending a document or updating a price list, and it can repeat. Both appear on the calendar, and both can be linked to a record.

Which views does the Tasks list have?

All tasks, Mine, Overdue, Today, Upcoming and Done. Mine shows your open tasks, Done shows completed and cancelled ones, and any view can be filtered by status, priority, type, owner, related record or due date and saved as a view of your own.

Can I create a task from a lead or deal?

Yes. Tasks can be created from a lead, contact, company, deal or client, and they stay linked to that record, so the task page shows the record's recent activity and a click takes you back to it. Tasks can also be created from the Tasks list or from an empty slot on the calendar.

How do repeating tasks work?

Set a task with a due date to repeat daily, weekly or monthly, with an optional end date. When the task is completed, the next occurrence is created with the same owner, priority, reminder and related record. Completing one late creates only the next occurrence that's still ahead, and reopening and completing it again doesn't create a second copy.

What does snoozing a task do?

Snoozing moves the task's due time to 09:00 one, three or seven days from today. From the list you can snooze a selection of tasks by one or three days together. A toast with Undo appears straight after, in case you snoozed the wrong one.

Who is told when a task is overdue?

DigiPix Flow checks for overdue tasks every minute. The owner is alerted, and the overdue task is also flagged to up to three people in team lead or manager roles, so late work is noticed while there's still time to deal with it.

Are tasks created automatically for new leads?

Yes, by default. When a lead is assigned, a follow-up task for that lead is added to the new owner's list. It can be switched off in the lead settings. Workflows can also add a task, for example when a lead turns hot.

Can managers see everyone's tasks?

What each person sees follows their role. Reps can be limited to their own tasks, team leads to their team's, and managers can see every task in the workspace, with the same filters and views.

Can my team manage tasks on their phones?

Yes. The mobile app has tabs for their tasks, overdue, today, upcoming and completed work, and lets reps create tasks, change their status, reschedule them and open the related record. They can select up to 25 tasks to complete, reassign or reprioritise together, and task reminders arrive as push notifications.
