Follow-ups & tasks

Sales follow-up software that never lets a call slip

Sales follow-up software that schedules every next touch on the record it belongs to, reminds the owner on web and phone before it's due, alerts the team when it runs late and leaves nothing dangling once a deal closes — so the call you promised on Thursday happens on Thursday.

  • Every next touch scheduled
  • Reminders on web and phone
  • Late work escalated, not forgotten
An example of the DigiPix Flow Follow-ups page with queues for Due today, Upcoming, Overdue, Mine, Escalated and Completed. A reminder pops up for a call with Priya Sharma and is completed, a busy call outcome books a callback with Rahul Kumar three hours later, and an overdue follow-up is escalated to a team lead.

  • Due & reminderA time, and a nudge before it
  • OwnerThe rep who is accountable
  • PriorityLow to urgent, so the day sorts itself
  • Related recordLead, contact, company, deal or client
  • OutcomeWhat happened, recorded when it's done
THE PROBLEM

Where follow-ups quietly slip

See how it's fixed
  1. Follow-ups kept in someone's head

A rep promises a callback, writes it on a sticky note and moves on to the next call. By Friday the note is gone, the rep is on leave, and nobody else knows the buyer was waiting to hear back.

  2. Reminders that reach nobody

A phone alarm reminds one person, on one device, at one time. If they're in a meeting or off sick, the reminder fires into empty air and the follow-up quietly becomes overdue.

  3. Missed calls that never get a second try

The buyer didn't pick up, so the lead sits untouched. Nobody schedules the retry, and a week later a competitor who called back twice has the order.

QUEUES

Every follow-up in the queue it belongs to

Follow-ups sort themselves into Due today, Upcoming, Overdue, Mine, Escalated and Completed, each with its own count. Filter and save the views your team relies on, and clear a morning's list in one go by completing, rescheduling, reassigning or cancelling several follow-ups at once.

  • Due today, Upcoming, Overdue, Mine, Escalated and Completed
  • Saved views for the way each team works
  • Bulk complete, reschedule, reassign or cancel
  • Overdue rows highlighted so they're hard to miss

SCHEDULE

Schedule the next touch from any record

From a lead, contact, company, deal or client, a follow-up takes a few clicks: pick a quick time such as This evening or Next business day, choose whether it's a call, WhatsApp, SMS, email, meeting, demo or site visit, set a priority and a reminder, and assign an owner. It appears on the record, in the queues and on the calendar at once.

  • Quick times: today, this evening, tomorrow or next business day
  • Call, WhatsApp, SMS, email, meeting, demo, site visit or video call
  • Priority from low to urgent, with a reminder before it's due
  • Rescheduling keeps a history, with an optional reason
An example of scheduling a follow-up in DigiPix Flow from a lead: quick times such as This evening or Next business day, a call type, high priority, a reminder 30 minutes before and an owner.
REMINDERS

Reminders that reach the right person

Choose a reminder 15 minutes, 30 minutes, an hour or a day before a follow-up is due. It lands in the bell and as a push notification on the owner's phone, and on the web a pop-up lets them complete it, snooze it for a few minutes or reschedule it without leaving what they're doing. Quiet hours hold alerts overnight, and a digest email recaps the rest.

  • Reminders from 15 minutes to a day before the due time
  • In the app and as mobile push notifications
  • Complete, snooze or reschedule straight from the reminder
  • Quiet hours overnight, and a daily or weekly digest email
An example of a DigiPix Flow follow-up reminder: a call with Priya Sharma is due now, with buttons to open the record, complete it, snooze it for five minutes to an hour or reschedule it, above notification settings for push reminders, a daily digest email at 08:30 and quiet hours from 21:00 to 08:00.
ESCALATIONS

Late work doesn't stay quiet

Every minute, DigiPix Flow checks for follow-ups and tasks that have passed their due time. The owner hears about it first, and overdue work is also flagged to up to three team leads or managers, so a missed callback surfaces while there's still time to rescue it. Everything late collects in the Escalated queue until someone acts.

  • Overdue checks every minute, around the clock
  • Alerts to the owner, and to team leads or managers by role
  • Further follow-up alerts one hour and four hours past due
  • An Escalated queue for everything still waiting
An example of DigiPix Flow's Escalated queue: two overdue follow-ups, each showing how late it is, its owner and the team leads or managers who were alerted, above the overdue timeline — due, overdue at the due time, then further alerts one and four hours later, checked every minute.
CALLBACKS

Callback reminders booked from the call outcome

Log a call and pick what happened. If the buyer didn't pick up or was busy, a callback is scheduled three hours later; if they asked you to call back later, it lands the next day; if they're waiting on a decision, it comes up in a week. New leads also get a first task the moment they're assigned, so nothing starts without a next step.

  • Not picked up or busy: a callback in three hours
  • Call back later: a callback the next day
  • Waiting for a decision: a follow-up in a week
  • A first task created as soon as a lead is assigned
An example of logging a call in DigiPix Flow: the outcome Busy is chosen for a call with Rahul Kumar, and a callback follow-up is scheduled automatically three hours later. Not picked up also books a callback in three hours, Call back later books one for tomorrow and Waiting for decision books a follow-up in seven days.
TASKS

Tasks that repeat, snooze and hand over cleanly

Tasks carry a priority, a due time and a reminder, and can repeat daily, weekly or monthly until an end date. Complete a repeating task late and just the next one is created, not a pile of missed copies. Snooze a task for a day, three days or a week, reassign it when someone's away, and handle several at once from the list.

  • Repeat daily, weekly or monthly, with an end date
  • Late completion creates only the next occurrence
  • Snooze for 1, 3 or 7 days, or reassign in a click
  • Bulk complete, snooze and reassign from the list

SEQUENCES

Sequences that stop the moment they reply

Build a sequence of email, SMS and WhatsApp steps with a wait between each, and enrol leads or contacts. When someone genuinely replies, their sequence stops — auto-replies and bounces don't count — so nobody gets a chaser after they've already answered. Consent is checked again before each message, and outreach waits out quiet hours.

  • Email, SMS and WhatsApp steps with delays
  • Enrol leads and contacts
  • Stops on a genuine reply, not on auto-replies or bounces
  • Consent checked again before every message
Explore sequences
An example of a DigiPix Flow sequence called New enquiry nurture: an email, then after two days a WhatsApp message, after three days an SMS and after one more day a last check-in email, set to stop when the person replies, respect quiet hours and check consent before each step, with 128 enrolled, 74 active, 31 stopped because they replied and 23 completed.

See tasks and follow-ups by day, week or month, with overdue items and what's up next in the side rail. Drag an item to a new slot to reschedule it, or click an empty slot to create a task or follow-up right there. On the mobile app, a follow-up can be added to the phone's own calendar.

HOW IT WORKS

From a promised call to a finished job, in five steps

  1. STEP 01

    Schedule the next touch

Create a follow-up or task from any record, with a type, owner, priority and reminder.

  2. STEP 02

    Get reminded

A reminder reaches the owner in the app and on their phone before it's due.

  3. STEP 03

    Complete with an outcome

Record what happened, and book the next touch in the same step.

  4. STEP 04

    Escalate what's late

Overdue work alerts the owner and team leads, and waits in the Escalated queue.

  5. STEP 05

    Repeat what recurs

Repeating tasks create their next occurrence as each one is done.

Follow-up questions, answered

What is follow-up reminder software?

Follow-up reminder software keeps track of every call, message and meeting a rep has promised, and reminds them before each one is due. In DigiPix Flow each follow-up sits on its record and in shared queues, reminders reach the owner in the app and on their phone, and overdue work is flagged to team leads so missed follow-ups don't go unnoticed.

How do follow-up reminders work?

When you schedule a follow-up or task, you choose a reminder 15 minutes, 30 minutes, an hour or a day before it's due. The reminder appears in the notification bell and as a push notification on the owner's phone, and on the web a pop-up lets them complete, snooze or reschedule it.

Will reminders wake my team up at night?

No. Quiet hours hold push, email, SMS and WhatsApp alerts between 21:00 and 08:00 by default, and each person can change them. Critical alerts can still come through if you allow them.

What counts as overdue, and who is told?

A follow-up or task is overdue once its due time passes. DigiPix Flow checks every minute, alerts the owner, and also flags the overdue item to up to three people in team lead or manager roles. Overdue follow-ups collect in the Escalated queue.

What happens when a call isn't answered?

When a rep logs a call as not picked up or busy, a callback follow-up is created three hours later. Call back later schedules it for the next day, and waiting for a decision schedules it a week out.

Can tasks repeat?

Yes. A task can repeat daily, weekly or monthly, with an optional end date. When it's completed, the next occurrence is created — and if it's completed late, only the next one is created rather than every missed copy. Follow-ups are booked one at a time, and completing one lets you schedule the next.

Do sequences keep messaging people who have replied?

No. A sequence stops as soon as the person genuinely replies. Auto-replies, bounces and spam don't count as replies, and consent is checked again before each message is sent.

Does DigiPix Flow have a calendar?

Yes. The calendar shows tasks and follow-ups by day, week or month, and you can drag an item to reschedule it or create one from an empty slot. The mobile app can add a follow-up to your phone's calendar. Connecting external calendar apps isn't available yet.

What happens to follow-ups when a deal is closed?

Closing a deal as won or lost cancels its pending follow-ups, tasks and queued reminders. They stay on the record for history, so nobody keeps getting nudged about a conversation that has already finished.

Can my team manage follow-ups on their phones?

Yes. The mobile app has follow-up queues for due, upcoming, overdue, mine, escalated and completed items, lets reps schedule and reschedule follow-ups, and receives the same push reminders as the web app.
