  1. The details that matter sit in a notes box

    “Budget around 45 lakh, wants 3BHK near Baner, site visit next Saturday” sits in a free-text note. Nobody can sort by budget, nobody can see which buyers want a 3BHK, and the visit date is only found by whoever reads the note.

  2. Every rep spells the same thing differently

    One rep writes “3 BHK”, another “3bhk”, a third “three bedroom”, and the source column says “FB”, “Facebook” and “Meta ad”. By month end the numbers can’t be added up, because the words never matched in the first place.

  3. Lost deals with no reason anyone can use

    Deals are marked lost with “not interested” or nothing at all. When the owner asks whether you are losing on price, on location or to a competitor, the honest answer is that nobody knows.

Pick the type that matches the information, and DigiPix Flow checks every value against it. A number field only takes numbers, a date field only takes a date, and a select field only accepts one of the options you set. URL, email and phone fields keep contact details in a shape your team can use.

Fields on leads, contacts, companies and deals

Each record type keeps its own set of fields, so a lead can carry a budget and a property type while a company carries its credit terms and a deal its competitor. Fields appear on the record page and on the create form when you choose, and reps fill lead fields from the mobile app too. When two contacts, companies or deals are merged, custom field values from the duplicate fill the gaps on the record you keep.

ORDER & RULES

Put fields in order, and decide the rules

Drag fields into the order your team fills them in. Mark a field required so a record can’t be created without it, or unique so two records can’t share the same value. Add help text and a placeholder so reps know what to type, and lock the fields your processes depend on so their key can’t be changed and they can’t be deleted.

Ad form answers land in the right field

When you connect a Meta Lead Ads form, map each question to a standard lead field or to one of your lead custom fields. The answer to “What is your budget?” goes straight into Budget (₹), and a property type answer is matched to your select options regardless of capital letters. An answer that doesn’t fit the field is skipped, and the lead is still created.

Custom lead statuses that match how your team qualifies

Every workspace starts with New, Contacted, Qualified, Converted and Lost. Add the steps your process really has, such as Site visit booked, give each status a colour and drag them into order. Choose which status new leads start in, and see how many leads sit in each one.

LEAD SOURCES

One list of lead sources, spelt the same way every time

Keep a single list of where leads come from — a property expo, a site hoarding, walk-ins — so reps pick a source instead of typing one. A website form or a Meta form can be set to one of your sources, so its leads arrive already labelled. Rename a source and the leads that carry it are updated with it.

LOST REASONS

A reason for every lead and deal you lose

Write the lost reasons that fit your market — budget too low, bought elsewhere, location not suitable — and your team picks one from the list. A lead can’t be set to Lost without a reason, and a deal closed as lost asks for one too unless you switch that requirement off in pipeline settings.

Fields that do more than sit on a record

Tick Show in list on a lead field and it becomes a column you can add to the Leads list, so reps can scan budgets without opening each lead. Deal stages can require a Competitor to be recorded before a deal moves on, read from a deal custom field of that name. Decision maker works the same way, and a linked contact also counts.

Custom field and master questions, answered

Which field types can I add?

Nine: text, long text, number, date, select, checkbox, URL, email and phone. Each value is checked against the type when it is saved, so a number field only holds numbers and a select field only holds one of its options.

Which records can have custom fields?

Leads, contacts, companies and deals. Each has its own list of fields, so the details you keep on a lead can be different from the ones you keep on a company.

Can I make a field required?

Yes. A required field that shows on the create form must be filled before the record can be created, and a value in a required field can’t be cleared later. You can also mark a field unique, so no two records of that type share the same value.

Can I change the order of fields?

Yes. Drag fields into the order you want on each record type, and that order is used on the create form and the record page. You can also sort the settings list by label or type while you look for a field.

What happens to values if I remove a field?

You can switch a field to inactive, which hides it from forms without deleting what was already entered. Locked fields can’t be deleted, and required fields can’t be deleted unless a workspace rule allows it.

Can captured leads fill custom fields?

Yes, from Meta Lead Ads. When you map an ad form, each question can point to a standard lead field or to an active lead custom field. Answers that don’t fit the field’s type are skipped and the lead is still created. CSV import fills the standard lead and contact columns rather than custom fields.

Can I change the lead statuses?

Yes. Every workspace starts with New, Contacted, Qualified, Converted and Lost. You can add your own statuses with a colour, rename them, drag them into order, choose the default for new leads and deactivate the ones you no longer use. A status that leads still use can’t be deleted.

Is a lost reason required?

A lead can’t be set to Lost without one. Deals closed as lost ask for a reason too, unless you switch that requirement off in pipeline settings. Reasons come from your own list, so they can be counted.

Who can change custom fields and masters?

Only people whose role allows managing custom fields or CRM masters. Everyone else sees the settings as read-only, and adding, editing or deleting a master is written to the audit log.
