CRM for travel agencies that answer every holiday enquiry first

DigiPix Flow is a CRM for travel agencies and tour operators whose holiday, honeymoon and group-tour enquiries arrive from Meta ads, Google Ads lead forms, the website and their own booking site all at once. It puts every enquiry in one list, sends it to the right destination desk, starts a response clock, and carries the traveller from the first WhatsApp reply to a package quote they accept online.

  • Meta, Google Ads, website and API enquiries in one list
  • Destination desks fed by assignment rules
  • Package quotes accepted online, with every version kept
An example of leads arriving in DigiPix Flow from a business's own booking portal through the lead API. The portal sends a signed request and gets 202 Accepted, and Sneha Nair's lead appears in the Leads list tagged booking-portal. The same request is retried with its Idempotency-Key and is recognised, so there is still only one lead. Intake flags the lead as a possible duplicate of an earlier lead for review, and assignment rules give it to Priya Sharma.

THE PROBLEM

Where travel agencies lose bookings

See how it's fixed
  1. The Goa enquiry answered six hours late

A family fills in your Instagram lead form at 9 pm, the website form gets a honeymoon enquiry over lunch, and your booking site emails someone else. By the time a consultant opens the right inbox, the traveller has already taken a quote from the agency that called back first.

  2. Two consultants, one traveller, two prices

The same couple enquires about Kerala from an ad and again from your website a week later. Without one record, two consultants pick them up, send two different package prices on WhatsApp, and the couple ends up negotiating one of your people against the other.

  3. Quotes lost somewhere in a phone

Package prices go out as WhatsApp messages and PDFs typed from a template on someone's laptop. When the traveller comes back in March asking for last November's rate, nobody can find which version they were sent, or who agreed the discount on it.

ONE LIST

Every holiday enquiry in one lead list, whichever ad it came from

Connect the places travellers already reach you. Meta lead forms arrive by webhook with a lead source per form, Google Ads lead forms post straight in, website forms work on a hosted page or embedded in your package pages, and your own booking site can create leads through the signed lead API. Older lists from travel fairs come in with a CSV import.

  • A lead source for each Meta form, such as Kerala or Dubai
  • Google Ads lead forms delivered by Google's own webhook
  • Website forms on your package pages or a hosted page
  • Enquiries from your booking site through the lead API
Explore the lead inbox

ONE TRAVELLER, ONE RECORD

Catch the traveller who enquired twice before two consultants call

Every new enquiry's email and phone are checked against the leads you already have. A match is flagged as a possible duplicate for a person to review, so the couple who clicked your Kerala ad and then filled in your website form is worked by one consultant, with one price. Nothing is merged automatically, and history from both records is kept when you merge.

  • Exact email and phone checks on every new lead
  • Possible duplicates flagged for a person to review
  • Never merged without someone deciding
  • Both records' history kept after a merge
Explore duplicate checks
An example of DigiPix Flow's duplicate review: a new Meta lead matches an existing website lead on email exactly and on phone once the numbers are normalised, with options to merge the records while keeping both histories or keep them separate, and a similar-looking lead with the same company flagged for a person to review.
DESTINATION DESKS

Send domestic, international and group enquiries to the right desk

Assignment rules run in the order you set and check a lead's source, tags, score and segment. Give each Meta form or website form its own source, and send Kashmir and Kerala enquiries to your domestic desk, Dubai and Bali to the international team and group tours to whoever handles groups, shared round robin or to the consultant with the fewest open leads. A fallback owner catches the rest.

  • Rules on source, tags, score and segment
  • Round robin, weighted, fixed or least-loaded sharing
  • Assignment that respects each consultant's working hours
  • A follow-up task created the moment a lead is assigned
Explore assignment rules
An example of DigiPix Flow's assignment rules: four rules run in order — weighted by source, least loaded by score, fixed by tag and round robin by segment — with a round-robin fallback when no rule matches, a follow-up task created on assignment, and a new lead just assigned by the first rule.
SPEED TO LEAD

A response clock on every trip enquiry, so nobody waits till morning

Each new lead starts two clocks: two minutes to get an owner and thirty minutes for the first contact, which stops when the consultant logs a call, message or note. When a clock runs out, the owner is alerted and the lead shows as overdue. A website form can also send the traveller an SMS the moment their enquiry is assigned, from a DLT template you have published.

  • Two minutes to assign, thirty to make first contact
  • Alerts to the owner when a clock is missed
  • An SMS auto-reply per website form, once per lead
  • Overdue enquiries visible to the whole desk
Explore follow-ups
An example of DigiPix Flow's response timers: a two-minute assignment target that alerts at 15 and 30 minutes, a thirty-minute first-contact target that alerts at 30 and 60 minutes, checked every minute, and four waiting leads — one on target, one with eight minutes left, one past its target with an alert sent, and an overdue follow-up.
WHATSAPP & SMS

Talk to travellers on WhatsApp from the enquiry itself

Your consultant writes to the traveller from the lead or deal, and the thread stays on that record for whoever takes the booking next. WhatsApp goes out from your connected business number, with a Meta-approved template once the 24-hour window has closed. SMS to Indian numbers is checked against your DLT templates, and sales and marketing messages need the traveller's consent for that channel.

  • Threads kept on the lead, contact or deal
  • Approved templates once the 24-hour window closes
  • SMS wording checked against your DLT templates
  • A STOP reply adds the number to do-not-contact
Explore WhatsApp and SMS
An example of the WhatsApp composer after the 24-hour window has closed: a banner says an approved template is required, the template payment_reminder is dimmed because it is still pending at Meta, the approved template visit_follow_up is chosen, and its two fields are filled in with a preview of the message.
FOLLOW-UPS

Keep the family that is still deciding on your calendar

Every call ends with one of nine results, and four of them book the next step for you: a traveller who did not pick up or was busy gets a callback in three hours, one who asked for a call later gets one the next day, and one still deciding gets a follow-up in seven days. Reminders arrive before each follow-up, and overdue ones are escalated.

  • Nine call results, four that book the next step
  • A seven-day follow-up for travellers still deciding
  • Reminders before every scheduled follow-up
  • Overdue follow-ups escalated to a team lead
Explore activities and follow-ups
An example of choosing a call result in DigiPix Flow for a call with Amit Mehta: nine results, four of which book the next step — Phone not picked and Busy a callback in three hours, Call back later a callback tomorrow and Waiting for decision a follow-up in seven days. Waiting for decision is selected and a follow-up is booked a week out with a reminder, and a second example shows that no extra callback is added when the record already has an open follow-up.
PACKAGE QUOTES

Send a package quote the traveller accepts online

Build the quote on the deal: line items such as the package per adult, a child sharing a room and an airport transfer, each with a quantity and unit price, then one discount and one tax amount for the whole quote. Every revision becomes a new numbered version. Once approved, it is emailed with a PDF and a link for each traveller, who can accept it with a typed name or a drawn signature.

  • Line items of description, quantity and unit price
  • Each revision saved as a new numbered version
  • Large discounts routed for approval before sending
  • Accepted online, with name, time and version recorded
Explore proposals
An example of a DigiPix Flow proposal's versions: v3 is current with an active customer link, while the links sent for v2 and v1 show as superseded, each version keeping its own change note and total. Opening an old link tells the buyer a newer version exists, and customer links expire after 30 days.
REPORTS

See which campaign fills your season

Reports show leads by source, open pipeline value by stage and your win rate over the last 30 days, so you can see whether the Kashmir campaign or the Google search ads brought this month's enquiries. Save a report, schedule it daily, weekly or monthly with an in-app notice when it is ready, and export it as CSV. Consultants see their own numbers; managers see the team's.

  • Leads by source across every campaign and form
  • Pipeline value by stage and a 30-day win rate
  • Saved, scheduled and exported as CSV
  • Totals scoped to what each role may see
Explore reports
An example of the DigiPix Flow home dashboard: 112 new leads in the last seven days, up 18 percent on the week before, ₹48.6 lakh of open pipeline, 9 tasks due today and a 38 percent win rate over 30 days, above a pipeline snapshot of open deals by stage.
HOW IT WORKS

From a holiday enquiry to an accepted quote, in five steps

  1. STEP 01

    Capture the enquiry

Meta, Google Ads, website and booking-site enquiries land in one list.

  2. STEP 02

    Route to a desk

Rules on source send each trip to the domestic, international or group desk.

  3. STEP 03

    Reply fast

A response clock runs while the consultant replies on WhatsApp, SMS or a call.

  4. STEP 04

    Quote the package

A versioned quote, approved if the discount is large, goes out with a PDF.

  5. STEP 05

    Accept and close

The traveller accepts online and the consultant marks the deal won.

INTEGRATIONS

The sources and channels a travel desk connects

Trip enquiries arrive from Meta lead ads, Google Ads lead forms, your website and your own booking site through the lead API, and your consultants reply to travellers on WhatsApp from the same record.

Travel agency CRM questions, answered

What is a CRM for travel agencies?

It is one place where every holiday enquiry lands, gets an owner and is followed up until the traveller books or says no. In DigiPix Flow that means enquiries from Meta ads, Google Ads lead forms, your website and your booking site in one list, assignment rules that pick the consultant, response clocks, WhatsApp and SMS on the record, and quotes the traveller accepts online.

Does DigiPix Flow book flights, hotels or packages?

No. DigiPix Flow is not a reservation or ticketing system and does not connect to airlines, hotels or suppliers. It manages the sales side: capturing the enquiry, following it up and sending a quote the traveller accepts. You keep making the booking in the tools you use today.

Can enquiries from my own booking website come in automatically?

Yes, in two ways. You can place a DigiPix Flow form on the site, embedded or as a hosted page, or your developer can post enquiries to the signed lead API. The API creates a new lead with its source, and a retry with the same Idempotency-Key never creates a second one.

How do I send honeymoon and group enquiries to different consultants?

Give each Meta lead form or website form its own lead source, then write assignment rules on source. A rule can share honeymoon enquiries round robin between two consultants and send group tours to your groups desk, and a fallback owner catches anything no rule matches. Google Ads lead forms share one set of workspace defaults, so route them by tags or score instead.

Can I reply to travellers on WhatsApp from DigiPix Flow?

Yes, from your connected WhatsApp Business number. Messages to and from the traveller stay on the record that holds their number, and once Meta's 24-hour window has closed you send an approved template. WhatsApp messages do not create new leads; enquiries come in through forms, ads, the lead API or a CSV import.

Is SMS to travellers DLT compliant?

DigiPix Flow checks every SMS to an Indian number against the DLT templates you have registered and can refuse any text that matches none. Sales and marketing messages also need the traveller's consent for SMS, and a STOP reply adds the number to do-not-contact.

Can a quote include tax and a discount?

Yes. A quote has line items of description, quantity and unit price, then one overall discount amount and one overall tax amount that you enter. DigiPix Flow does not calculate tax for each line, so enter the figure your accounts team works out. A discount above the band you set waits for a manager's approval.

How does a traveller accept a package quote?

They open their own secure link from the email and accept by typing their name or drawing a signature, or decline with a reason. DigiPix Flow records the name, email, IP address, browser, time and version, and alerts the consultant, who then marks the deal won.

Can I see which campaign brought in the most enquiries?

Yes. Each lead keeps the source it arrived from, and the leads by source report shows them over 7 days, 30 days, a quarter or a year. You can save it, schedule it and export it as CSV.
