CRM for interior designers, from site visit to a signed quotation

DigiPix Flow is a CRM for interior designers, modular kitchen studios and fit-out firms whose home and office enquiries come from Meta ads, Google Ads lead forms and their website. It sends each enquiry to the right designer, keeps the client's WhatsApp photos on their record, puts site visits on the calendar, gets big discounts approved, and turns a quotation the client accepts online into a clean handover for your execution team.

  • Meta, Google Ads and website enquiries in one list
  • Site visits and follow-ups with reminders
  • Quotations approved, then accepted online
An example of a DigiPix Flow proposal page for PROP-00012, Office revamp, with its line items, a discount and tax, and a total of ₹5,31,000. The draft is submitted for approval, approved by the sales manager Deepak Kulkarni, emailed to Priya Sharma with her own link, and accepted by her with a typed name on version 2, after which the rep can close the deal.

THE PROBLEM

Where interior design studios lose projects

See how it's fixed
  1. A 3BHK enquiry nobody called back

The kitchen offer on Instagram brings forty enquiries in a weekend. They sit in Ads Manager and a shared inbox while your designers are on site, and by Tuesday the family with a ₹12 lakh budget has already booked a consultation with the studio down the road.

  2. Site photos scattered across phones

The client sends photos of the kitchen wall and a voice note about the wardrobe to one designer's personal WhatsApp. When a colleague takes over the quotation, none of it has come with them, and the client is asked for the same measurements twice.

  3. Discounts given away on the call

To close before Diwali, a designer promises 15% off a full-home quotation on the phone. The revised PDF goes out from their laptop, nobody signs off the margin, and the execution team only learns what was promised when the client reminds them on site.

ONE LIST

Interior design lead management: every enquiry in one list

Connect the places homeowners and businesses reach you. Meta lead forms arrive by webhook with a lead source per form, and their answers, such as budget or property size, can fill your own lead fields. Google Ads lead forms post straight in, and a book-a-consultation form works on a hosted page or embedded on your website. Home-show visitor lists come in with a CSV import.

  • A lead source per Meta form, such as Kitchen offer
  • Meta answers mapped into your own lead fields
  • Consultation forms on your site or a hosted page
  • Possible duplicates flagged on email and phone

ROUTING

Send kitchen, wardrobe and full-home enquiries to the right designer

Assignment rules run in the order you set and check a lead's source, tags, score and segment. Send modular kitchen enquiries to your kitchen team, full-home projects to your senior designers and office fit-outs to the commercial desk, shared round robin or to whoever has the fewest open leads. A fallback owner catches the rest, and each assignment creates a follow-up task.

  • Rules on source, tags, score and segment
  • Round robin, weighted, fixed or least-loaded sharing
  • Only within each designer's working hours
  • A follow-up task created on assignment
Explore assignment rules
An example of DigiPix Flow's assignment rules: four rules run in order — weighted by source, least loaded by score, fixed by tag and round robin by segment — with a round-robin fallback when no rule matches, a follow-up task created on assignment, and a new lead just assigned by the first rule.
WHATSAPP & SMS

Keep the client's photos and voice notes on their record

Designers message the client from the lead or deal, on your connected WhatsApp Business number, and the thread stays on that record for whoever works the project next. Photos of the site and voice notes the client sends are saved as attachments on the thread. Once Meta's 24-hour window closes, you send an approved template, and SMS is checked against your DLT templates.

  • Photos and voice notes saved on the thread
  • Threads on the lead, contact or deal, not a phone
  • Approved templates after the 24-hour window
  • Consent checked for sales and marketing messages
Explore WhatsApp and SMS
An example of a WhatsApp conversation with Neha Patil in DigiPix Flow: a photo of her kitchen wall and a voice note she sent are saved as attachments on the thread, with her caption shown as the message text; the rep's reply carries one PDF quotation marked as read, a second message failed outside the 24-hour window with Meta's code 131047, and the composer shows one attachment checked for type and size.
SITE VISITS & MEETINGS

Put every site visit and showroom meeting on the calendar

Schedule a site visit as a follow-up on the lead or deal, with a time, a priority and a reminder from fifteen minutes to a day before. The calendar shows follow-ups and tasks by day, week or month, and a visit dragged to a new slot is rescheduled. After the visit, the designer logs the meeting on the deal, so the next step is on record.

  • Site visit follow-ups with reminders
  • Day, week and month calendar views
  • Drag a visit to reschedule it
  • Meetings logged on the deal after the visit
Explore follow-ups

QUOTATIONS

Build the fit-out quotation on the deal, not in a Word file

Add line items such as modular kitchen, wardrobes and false ceiling, each with a description, quantity and unit price, then one discount and one tax amount for the whole quotation, in the currency you choose. Every revision after a site visit becomes a new numbered version, and the client's link always opens the version they were sent.

  • Line items of description, quantity and unit price
  • One overall discount and one tax amount
  • A new numbered version for every revision
  • The PDF attached to the deal when it is sent

DISCOUNT APPROVALS

Big discounts signed off before the client sees them

Write approval rules on a quotation's amount band and discount percentage, and choose who decides: a sales manager, finance or an org admin, with a due time in hours or business days. Nobody approves their own request, a rejection needs a comment, and overdue requests are escalated. With the approval switch on, as it is by default, an unapproved quotation cannot be emailed.

  • Rules on amount band and discount percentage
  • Routed to a sales manager, finance or an org admin
  • Due times, reminders and escalation
  • No sending until the request is approved
Explore approvals
An example of DigiPix Flow proposal approval rules: large quotes between five and twenty-five lakh go to a sales manager within three days, discounts above ten percent to a sales manager within a day, and strategic deals to a director. Below, a pending request for PROP-00012 from Kavya Iyer waits with Deepak Kulkarni, who was sent a reminder after two days, with buttons to approve, reject or reassign.
ONLINE ACCEPTANCE

The client accepts the quotation online, with a record of it

An approved quotation is emailed with a PDF and a secure link for each recipient, so both partners in a home project get their own. The client accepts by typing their name or drawing a signature, or declines with a reason. DigiPix Flow records the name, email, IP address, browser, time and version, alerts the designer, and the designer marks the deal won.

  • A secure link for each recipient
  • Accept with a typed name or a drawn signature
  • Name, IP, time and version recorded
  • The designer alerted the moment it is accepted

HANDOVER

Hand the won project to execution with nothing left in a designer's head

Convert the won deal into a client and prepare a handover for the team that builds it. A default checklist covers the account and stakeholders, deliverables, access details, key files, the first 30 days and a customer success owner, with notes alongside, and a separate reviewer accepts it or asks for changes. DigiPix Flow does not schedule the work on site; the handover makes sure execution knows what was sold.

  • A won deal converted into a client
  • Six checklist items, five of them required
  • A named customer success owner
  • Accepted by a reviewer, or sent back for changes

INTEGRATIONS

The sources and channels a design studio connects

Interior enquiries arrive from Meta lead ads, Google Ads lead forms and your website, and your designers talk to clients on WhatsApp and DLT-checked SMS from the same record.

Interior designer CRM questions, answered

What is a CRM for interior designers?

It is the system that takes an enquiry from the first ad click to a signed quotation without anything living in one person's phone. In DigiPix Flow that means enquiries in one list, assignment rules that pick the designer, WhatsApp on the client's record, site visits with reminders, approved quotations the client accepts online, and a handover to execution.

Does DigiPix Flow include design or drawing tools?

No. DigiPix Flow does not draw layouts, make visualisations or price materials from a catalogue. It manages the sales side of a project: the enquiry, the follow-ups, the quotation and the handover. Your designers keep using the design software they already have.

Can I capture the client's budget and property size from my ads?

From Meta lead forms, yes: map each form question to one of your own lead fields, such as budget, property type or carpet area, and the answers arrive on the lead. Website forms save into the standard lead fields, such as name, phone, source and tags, so ask those questions on a Meta form or add them after the first call.

Can I schedule site visits in DigiPix Flow?

Yes. A site visit is a follow-up on the lead or deal with a date, time, priority and a reminder from fifteen minutes to a day before. It appears on the day, week and month calendar inside DigiPix Flow, and can be dragged to a new slot. The calendar does not sync with Google or Outlook.

Can a quotation include GST and a discount?

A quotation has one overall tax amount, which you enter, alongside one overall discount amount and its line items of quantity and unit price. DigiPix Flow does not split tax into components or calculate it per line, so enter the figure your accounts team works out.

Who can approve a discount on a quotation?

The role your rule names: a sales manager, finance or an org admin, or a specific person. The requester is always skipped, the approver sees the exact numbers submitted and must comment to reject, and requests that pass their due time are escalated.

How does a client accept a quotation?

They open a secure link from the email and accept by typing their name or drawing a signature, or decline with a reason. DigiPix Flow records the name, email, IP address, browser, time and version, alerts the designer, and the designer then marks the deal won.

What happens after a project is won?

The designer converts the won deal into a client and prepares a handover with a six-item checklist, notes and a customer success owner, which a reviewer accepts or sends back. DigiPix Flow does not schedule work on site or raise bills, so your execution team works from the handover in the tools it already uses.
