  1. A list that was right last month

    Someone filters the leads sheet for high scorers, copies the rows into a new tab and shares it. Three weeks later the team is still calling from that tab, while the leads that qualified since then sit untouched and two on the list have already bought elsewhere.

  2. Nobody knows which filter was used

    The list was built by a manager who has since changed the columns twice. When a number looks wrong, nobody can say which conditions made it, what they were before, or how to get back to the version that worked.

  3. A bulk message to people who said no

    A WhatsApp broadcast goes to every number on the sheet, including customers who asked not to be messaged. Complaints follow, the number gets flagged, and the people who did want to hear from you stop getting anything at all.

DYNAMIC OR STATIC

Dynamic lists and static lists, for four kinds of record

A dynamic segment is defined by rules, so its membership follows your data: when a lead's score or status changes, whether it matches changes with it. A static segment is a hand-picked list that only changes when someone adds or removes a member. Either kind can hold leads, contacts, deals or clients, and a segment can be converted later — turning a dynamic segment static keeps today's matches as the list.

RULE BUILDER

Say who belongs, one condition at a time

Each rule is a field, an operator and a value: Lead score more than 70, Status is Qualified, Source is Website. Group rules under Match all (AND) or Match any (OR), and nest groups when a segment needs both. The fields change with the record type — stage and amount for deals, lifecycle status and tags for contacts — and a template gallery gives you a starting point instead of a blank page.

See who matches before you save

Preview runs your rules against your records without saving anything. You get the number of matching records, how many of them have consent to be contacted, and a sample of the records themselves, so you can spot a rule that caught too much or too little. Adjust, preview again, and save once the list looks right.

VERSIONS

Every change kept, and any version one click back

Each save records a new version with what changed — created, renamed, rules changed, type converted — who made it and when. Open a version to see the rules that were added and removed compared with the one before. If a change made the list worse, restore the earlier version; if you want a variation, duplicate the segment and edit the copy instead.

MEMBERS

Who is on the list, and whether you may contact them

The Members tab lists every record in the segment with its consent beside it, and the overview shows members, consented and the consent gap between them. On a static segment you add members by picking records, pasting a CSV or pulling in a saved view, and remove them with a reason. Member history shows who was added or removed, when, and why.

Counts that don't quietly go out of date

A dynamic segment shows when it was last counted. Press Refresh for a fresh count whenever you need one. Behind that, a scheduled check runs every 30 minutes and recounts any dynamic segment whose count is marked stale, is more than a day old, or got stuck mid-refresh — so a segment nobody has opened in a week still shows a recent number.

Use a segment wherever a rule needs an audience

A segment can be a condition anywhere DigiPix Flow checks one: a workflow step that continues only if the lead is in a segment, a scoring rule that adds points for it, or an assignment rule that routes those leads to the right owner. For a dynamic segment the record is tested against the segment's rules at the moment of the check. Adding a record to a static segment can start a workflow, and the segment's Usage tab lists every workflow that refers to it.

Message a segment, and only the people who agreed

From a lead or contact segment, choose email, WhatsApp or SMS and write the message or pick a template. Before you send, DigiPix Flow shows how many members can receive on that channel — consented for it and holding an email address or phone number — and everyone else is skipped. SMS supports merge fields like first name and sends under your registered DLT template.

Segment questions, answered

What is the difference between a dynamic and a static segment?

A dynamic segment is defined by rules, such as lead score more than 70 and source is Website, so which records match changes as your data changes. A static segment is a list of records you choose, and it only changes when someone adds or removes a member. You can convert one into the other; converting a dynamic segment to static keeps the records that match at that moment.

Which records can I put in a segment?

Leads, contacts, deals and clients. Each segment holds one type of record, and the rule builder offers fields that fit it — for example score, status and source for leads, or stage, amount and close date for deals.

Can I check a segment before saving it?

Yes. Preview runs the rules without saving and shows how many records match, how many of them have consent to be contacted, and a sample of the matching records.

How often are segment counts updated?

Press Refresh on a dynamic segment for a fresh count at any time, within your plan's daily refresh allowance. A scheduled check also runs every 30 minutes and recounts dynamic segments whose count is marked stale, is more than a day old, or got stuck while refreshing. Static segments change only when members are added or removed.

Can I undo a change to a segment?

Every change is saved as a version showing what changed, who made it and when, including the rules added and removed. You can restore any earlier version, or duplicate the segment and change the copy.

How do segments work with automation?

Workflow conditions, lead scoring rules and assignment rules can all check whether a record is, or is not, in a segment. Adding a record to a static segment can also start a workflow. A segment's Usage tab lists the workflows that refer to it.

Can I message everyone in a segment?

From a lead or contact segment you can send by email, WhatsApp or SMS. Each send reaches up to 500 members that your own access covers, and only those who have given consent for that channel and have an email address or phone number for it; the rest are skipped. Deal and client segments are used in automation rather than for messaging.

Does being in a segment mean someone has agreed to be contacted?

No. Segment membership and messaging consent are kept separate. The members list shows consent for each record, and every send checks consent again for the channel you choose.

Is there a limit on how many segments we can have?

Your plan sets how many segments your workspace can keep, and how many manual refreshes you can run each day. Creating or duplicating a segment checks that limit first.
