  1. Replies trapped in one person's mailbox

    A rep quotes a price from their own account, the buyer answers, and the reply sits in a mailbox nobody else can open. When that rep is on leave, the buyer waits and the team has no idea a conversation was ever running.

    Someone asks to stop hearing from you, but the request is noted in one spreadsheet while a colleague mails the old list on Monday. It damages trust, and it puts your sending reputation at risk with every message.

It checks them for you every 30 minutes, or straight away when you press Verify, and shows each domain as waiting for DNS, verified or failed. Until a domain is verified, email still goes out, from your workspace name via DigiPix Flow.

Write with bold, italics, bulleted and numbered lists, quotes and links, and each rep's signature is added to the email as they start, still editable if a message needs something different. Copy in colleagues with Cc and Bcc, attach scanned files, or start from a quick reply that fills in the person's name and company for you.

Every reply comes back to the conversation

Each email thread carries its own reply address, so when a buyer answers, the reply joins the same conversation rather than one person's mailbox. If that address is missing, DigiPix Flow matches on the email's reply headers and then on the sender. Out-of-office messages and bounces are flagged, and the thread sits on the lead or contact it belongs to.

MAILBOX SYNC

Bring in the mail your team already sends

Connect a mailbox over IMAP with an app password and DigiPix Flow reads its inbox and sent folder every five minutes, starting with the last seven days. By default it only brings in mail from people who are already in your CRM, so personal messages stay personal. The connection is read-only and backs off on its own if the mail server stops answering.

Write it now, send it when they're at their desk

Finished a quotation at eleven at night? Schedule it for an hour from now, for nine tomorrow morning, or for any date and time you choose. Consent is checked again when a scheduled email is released, so an opt-out in the meantime still counts. Automated mail waits out quiet hours overnight, while an email a rep sends by hand goes when they press Send.

Sales email tracking you can take at face value

Open and click tracking starts switched off for every workspace. Turn it on in settings, and reps can still switch it off for a single email. Opens from privacy proxies, image proxies and security scanners are set aside, along with opens within two seconds of sending, so only people count. Each message shows how often it was opened and clicked.

Know what happened to every email

Every email shows where it has got to: queued, scheduled, sending, sent, delivered, or failed. When one fails, the reason the mail server gave appears on the message, with a Retry button beside it and Retry all for the conversation. Mail goes out from your verified domain through DigiPix Flow's own sending, so there is no separate email service to set up.

Email questions, answered

Do I need my own domain to send email?

No. Until a domain is verified, email goes out from your workspace name via DigiPix Flow, so you can start straight away. Verifying the domain you already use lets your team send from their own addresses on it.

What do I need to add to my DNS?

Three DKIM CNAME records, which DigiPix Flow shows you ready to copy. It checks for them every 30 minutes, or when you press Verify, and marks the domain as waiting for DNS, verified or failed. A workspace can verify up to 10 domains.

Where do replies to our emails go?

Back into the same conversation. Every email thread has its own reply address, and if a reply arrives without it, DigiPix Flow matches it on the reply headers and then on the sender. The thread sits on the lead or contact it belongs to, and out-of-office replies and bounces are flagged rather than treated as answers.

Can I connect the mailbox my team already uses?

Yes, over IMAP with an app password. DigiPix Flow reads the inbox and sent folder every five minutes, starting with the last seven days, and by default only brings in mail from people already in your CRM. The connection is read-only.

Is open and click tracking switched on?

Not until you choose. Tracking is off for every workspace to begin with. Once you switch it on, reps can still turn it off for a single email, and each message shows how many times it was opened and clicked.

How do you stop machines counting as opens?

Opens that come from privacy proxies, image proxies and security scanners are set aside, as are opens within two seconds of sending and clicks within one second. Only the rest are counted, and unsubscribe links are never rewritten for tracking.

How are unsubscribes and consent handled?

Marketing and sales outreach email is checked against the person's consent and your do-not-contact list before it sends, and again when a scheduled email is released. Those emails carry a one-click unsubscribe header and a preference page link, and hard bounces and complaints are added to do-not-contact automatically.

What happens when an email fails?

The email is marked as failed and the reason the mail server gave is shown on the message. A rep can retry it with one click, or retry every failed email in the conversation together.

Can email be part of a sequence or sent to a segment?

Yes. Sequences can include email steps, and a sequence stops when the person genuinely replies. You can also email a segment of up to 500 people, and only members who have agreed to sales outreach receive it.
