CRM for solar business teams that turn rooftop enquiries into site visits

DigiPix Flow is a CRM for solar business teams, from rooftop installers and EPC firms to their channel partners, whose enquiries come in from Meta ads, Google Ads lead forms, IndiaMART and the website, usually from a homeowner looking at last month's electricity bill. It puts every enquiry in one list, hands it to the right salesperson by the rules you write, gets the site visit on the calendar with a reminder, and carries the customer through to a quotation they accept online.

  • Meta, Google Ads, IndiaMART and website enquiries in one list
  • Site visits scheduled with a reminder before each one
  • Quotations accepted online, with every version kept
An example of the DigiPix Flow Leads screen with Meta Lead Ads connected. A submission on a Facebook lead form for a 2BHK site visit arrives as a new lead, Priya Sharma, at the top of the list; her answers fill in on the open lead, mapped onto lead fields and custom fields; the duplicate check finds no match and a rule assigns her to Rahul Kumar; then Rahul calls her and her status moves from New to Contacted.

THE PROBLEM

Where solar sales slip before the site visit

See how it's fixed
  1. The rooftop enquiry that waited for Monday

A homeowner fills in your Facebook form on Saturday evening, shortly after a ₹4,800 electricity bill. The enquiry sits in Ads Manager over the weekend, and by Monday two other installers have already rung, sent a rough estimate on WhatsApp and offered to come and see the roof.

  2. Site visits kept in one engineer's diary

The salesperson promises a visit for Thursday and tells the engineer over the phone. Nobody else knows it is happening, there is no reminder, and when the visit slips the customer hears nothing until they ring to ask what went wrong.

  3. Quotations nobody can trace

Quotes go out as PDFs from someone's laptop and get revised over WhatsApp: a bigger inverter here, a lower price there. When the customer finally says yes, nobody is sure which version they agreed to, or who approved the discount on it.

EVERY ENQUIRY

Solar lead management: every rooftop enquiry in one list

Connect the Facebook Pages running your rooftop campaigns and each lead form arrives with its own lead source. Google Ads lead forms land in the same list, IndiaMART buyer enquiries are collected every five minutes, and a get-a-quote form can sit on your website or be shared as a hosted link from a newspaper ad or a WhatsApp message. The names collected by a partner or at a solar exhibition come in as a CSV file.

  • A lead source for each Meta form, such as Homes or Housing societies
  • IndiaMART buyer enquiries picked up every five minutes
  • Website forms embedded on a page or hosted on their own link
  • Partner and exhibition lists imported from CSV

BILL, ROOF AND DUPLICATES

The bill and the roof on the lead, and repeat enquiries flagged

A Meta lead form can ask what your salespeople need before they call, such as the monthly electricity bill, whether the roof is flat or sloping, and whether it is a house or a housing society, and each answer maps to a lead custom field you create. Every new enquiry's email and phone are checked against your existing leads, so the homeowner who answered an ad and then filled in your website form is flagged for review instead of being called twice.

  • Meta form answers mapped to your own lead custom fields
  • Select fields for bill band, roof type and property type
  • Email and phone checked on every new enquiry
  • Possible duplicates reviewed by a person, never merged on their own

ASSIGNMENT

Each enquiry to the right salesperson, with a clock on first contact

Run a separate Meta form for each city you serve, or one for commercial rooftops, give each its own lead source and write an assignment rule for it: round robin across the Pune team, weighted towards your strongest closers, or to whoever has the fewest open leads. Every new enquiry then has two minutes to get an owner and thirty minutes to a first contact, and the owner is alerted whenever either target is missed.

  • Rules on lead source, tags, score and segment
  • Round robin, weighted, single-owner or least-loaded sharing
  • A fallback owner when no rule matches
  • Alerts when assignment or first contact runs late

An example of DigiPix Flow's assignment rules: four rules run in order — weighted by source, least loaded by score, fixed by tag and round robin by segment — with a round-robin fallback when no rule matches, a follow-up task created on assignment, and a new lead just assigned by the first rule.
SITE VISITS

Site visits on the team calendar, with a reminder before every one

From the lead or the deal, schedule a follow-up of the Site visit type for Thursday at 10:00, assign it to whoever is going and set a reminder a day before. It shows on the record, in their queue and on the team calendar, and if it runs late the owner and team leads are told. After the visit, complete it with an outcome, add a note about what the engineer saw on the roof, and book the next step in the same go.

  • Site visit is one of the standard follow-up types
  • A reminder 15 minutes, 30 minutes, an hour or a day ahead
  • Day, week and month views of the team calendar
  • Late visits flagged to the owner and team leads

WHATSAPP & SMS

Answer homeowners on WhatsApp from the lead, not a personal phone

Connect your WhatsApp Business number and every conversation sits on the customer's lead, including the photo of the electricity bill they send, so whoever picks up the deal next can read it. Once Meta's 24-hour window has closed, your team sends an approved template, such as a site visit confirmation. SMS to Indian numbers is checked against your DLT templates, and consent and do-not-contact are checked before any sales message goes out.

  • Threads, photos and documents kept on the lead
  • Meta-approved templates once the 24-hour window ends
  • SMS wording matched to your DLT templates
  • A STOP reply moves the number to do-not-contact

QUOTATIONS

Send a quotation the customer accepts online, and know which version they chose

Build the quotation on the deal with line items such as a 5 kW rooftop system, a raised mounting structure and net-metering charges, each with a quantity and unit price, then one discount and one tax amount that you work out with your accounts team. Each revision becomes a numbered version, and a discount beyond your limit waits for approval before it can be sent. The customer opens their own link from the email and accepts with a typed name or a drawn signature.

  • Line items with description, quantity and unit price
  • One discount and one tax amount on each quotation
  • Discounts above your limit approved before sending
  • Name, time, IP address and version recorded on acceptance

Solar CRM questions, answered

What is a CRM for a solar business?

It is where every solar enquiry lands, gets an owner and is followed up until the customer accepts a quotation or says no. DigiPix Flow brings Meta, Google Ads, IndiaMART and website enquiries into one list, assigns them by your rules, schedules site visits with reminders, keeps WhatsApp on the record and sends quotations customers accept online.

What does DigiPix Flow leave to our other tools?

Everything technical and everything after the sale. DigiPix Flow does not draw panel layouts or work out how many kilowatts a roof needs, it does not plan installation crews or hold panel stock, and it does not file paperwork for government schemes. It covers the sales side, from the first enquiry to the accepted quotation.

Can IndiaMART enquiries for solar come in on their own?

Yes. Add your IndiaMART CRM key and buyer enquiries are collected every five minutes, which is as often as IndiaMART permits. They land in the same list as your Meta and website enquiries, labelled IndiaMART, and go through the same duplicate checks and assignment rules.

How do we send enquiries from different cities to different teams?

Run a Meta lead form, or a website form, for each city or customer type and give each one its own lead source. An assignment rule per source then shares those enquiries round robin, by weighting or to whoever has the fewest open leads. Google Ads lead forms share one set of workspace defaults, so split them with tags or score instead.

Can we schedule and track site visits?

Yes. A site visit is a follow-up type: pick the date, time, owner, priority and a reminder from 15 minutes to a day before. Visits appear in the follow-up queues and on the day, week and month calendar, late ones alert the owner and team leads, and completing a visit records its outcome and the next follow-up. Customers do not pick visit slots themselves.

Can the pipeline match how we sell solar?

Yes. Name the stages your team works through, such as Enquiry, Site visit done, Quotation sent and Order confirmed, and mark which count as won or lost. A stage can require an amount, a close date or a next step before a deal enters it, and every lost deal records a reason from your list, such as price or a roof that isn't suitable.

How is tax shown on a solar quotation?

As one tax amount for the whole quotation, which you enter. DigiPix Flow does not work tax out line by line, so use the figure your accounts team calculates. The quotation also carries one overall discount amount, and a discount above the band you set waits for a manager's approval before it can go out.

Are our SMS messages checked against DLT?

Yes. Each SMS to an Indian number is compared with the DLT templates you have registered, and you can choose to refuse any text that matches none. Sales and marketing texts also need the customer's consent for SMS, and a STOP reply puts the number on your do-not-contact list.

Which ads bring the most solar enquiries?

Every lead keeps the source it came from, so the leads by source report compares your Meta forms, Google Ads, IndiaMART and website over 7 days, 30 days, a quarter or a year. The pipeline by stage report shows how many deals sit at each stage and what they are worth. Save both, schedule them weekly and export a CSV.
