CRM for insurance agents who follow up every prospect on time

DigiPix Flow is a CRM for insurance agents and advisor teams whose health, motor and term cover enquiries come from Meta ads, Google Ads lead forms, quote-request forms on their website and years of client lists kept in Excel. It keeps one record per prospect, sends each enquiry to the right advisor, books the callback when a call goes unanswered, and only messages people who have said yes to that channel.

  • Ads, website forms and your Excel book in one list
  • One record per prospect, with duplicates flagged
  • WhatsApp and SMS sent only with consent
An example of importing a lead list into DigiPix Flow. The file expo-visitors-sept.csv is dropped in and 1,284 rows and 9 columns are detected. Most columns are matched to lead fields automatically, and the WhatsApp No column is set to Phone by hand. The review step shows 1,271 rows ready and 13 needing attention, with the leads routed through assignment rules. The job finishes as partial with 1,248 leads imported, 23 rows skipped because the email already belongs to a lead and 13 failed, and the new leads appear with their owners.

THE PROBLEM

Where insurance agencies lose prospects

See how it's fixed
  1. The same prospect, three leads, three calls

Someone asks for a health quote on your Instagram ad, fills in the website form two days later and was already in last year's Excel list. Three advisors call the same person in one week, and the prospect decides your agency is disorganised before anyone has quoted a premium.

  2. Callbacks promised and never made

Half the calls go unanswered and the other half end with 'call me after salary day'. Those callbacks sit in a notebook or a phone reminder, and the day an advisor is out, every prospect they promised to ring back quietly goes to another agent.

  3. Messages to people who never agreed

A bulk WhatsApp or SMS goes to the whole list, including the people who asked to be left alone. The complaints arrive, the sender ID gets flagged, and nobody can show who agreed to hear from you on which channel.

ONE LIST

Insurance lead management: ad, form and Excel leads in one list

Meta lead forms arrive by webhook with a lead source per form, Google Ads lead forms post straight in, and a quote-request form works on a hosted page or embedded on your site, with a consent box that is never pre-ticked. Bring your existing book in with a CSV import, with a column for each lead's source and columns for the consent people already gave you.

  • A lead source per Meta form, such as Health or Term
  • Quote-request forms with a consent box and its notice
  • CSV import with source and consent columns
  • Rows whose email is already a lead skipped on import

ONE PROSPECT, ONE RECORD

One record per prospect, however many times they enquire

Every new lead's email and phone are checked against the leads you already have. A match is flagged as a possible duplicate for someone to review, so the person who clicked your ad and then filled in your website form is called once, by one advisor. Nothing is merged automatically, and when you merge, the calls, follow-ups and messages from both records are kept.

  • Exact email and phone checks on arrival
  • Possible duplicates flagged, never merged on their own
  • Calls, follow-ups and threads kept after a merge
  • A duplicates desk for leads, contacts and deals
Explore duplicate checks
An example of DigiPix Flow's duplicate review: a new Meta lead matches an existing website lead on email exactly and on phone once the numbers are normalised, with options to merge the records while keeping both histories or keep them separate, and a similar-looking lead with the same company flagged for a person to review.
BY PRODUCT LINE

Send health, motor and term enquiries to the advisor who sells them

Assignment rules run in the order you set and check a lead's source, tags, score and segment. Give your health, motor and term forms their own sources, then send each line to the advisors who handle it, shared round robin or to whoever has the fewest open leads, only within their working hours. A fallback owner catches anything no rule matches, and every assignment creates a follow-up task.

  • Rules on source, tags, score and segment
  • Round robin, weighted, fixed or least-loaded sharing
  • Assignment only inside each advisor's working hours
  • A fallback owner, so no enquiry sits unassigned
Explore assignment rules
An example of DigiPix Flow's assignment rules: four rules run in order — weighted by source, least loaded by score, fixed by tag and round robin by segment — with a round-robin fallback when no rule matches, a follow-up task created on assignment, and a new lead just assigned by the first rule.
CALLBACKS & DUE DATES

Callbacks booked for you, and follow-ups on the date cover is due

Log a call and pick one of nine results: not picked up or busy books a callback in three hours, call back later books one for the next day, and waiting for a decision books one in seven days. Add a date field such as 'cover due on' to your leads or contacts, and schedule a follow-up for that day with a reminder from fifteen minutes to a day before.

  • Nine call results, four that book the next step
  • Date, number and select fields on leads and contacts
  • Follow-ups with a type, priority and reminder
  • Overdue follow-ups escalated to a team lead
Explore follow-ups
An example of scheduling a follow-up in DigiPix Flow from a lead: quick times such as This evening or Next business day, a call type, high priority, a reminder 30 minutes before and an owner.
CONSENT & DLT

WhatsApp and SMS only to prospects who said yes

Consent is kept per channel for sales and marketing messages, and it is checked again at the moment a message is sent. A prospect who replies STOP, or one of the other opt-out words, is added to do-not-contact. Every SMS to an Indian number is checked against your registered DLT templates, and automated messages wait between 21:00 and 08:00.

  • Consent per channel, checked again at send time
  • STOP and other opt-out replies honoured
  • SMS wording checked against your DLT templates
  • Automated messages held overnight
Explore consent and opt-outs
An example of consent on Sneha Nair's contact record after she replied STOP to a text: SMS consent withdrawn, her number added to the do-not-contact list, WhatsApp consent recorded earlier by a rep with an attestation, and email consent from a website form.
SEGMENTS

Reach the right group of prospects without a bulk blast

Build a dynamic segment on lead source, status, score, owner, created date or last activity, such as every term cover enquiry from the last 90 days that is still open, or pick members by hand for a static list. The preview shows how many members have consent before you send, and a message by email, WhatsApp or SMS goes only to those who do.

  • Dynamic segments that keep their own membership
  • Static lists of the people you pick
  • Consented counts shown before anything is sent
  • Email, WhatsApp or SMS to consented members only
Explore segments
An example of the DigiPix Flow segment rule builder for a dynamic lead segment called Hot website leads. A Match all (AND) group holds three rules: Lead score more than 70, Source is Website, and Status is not Lost. A nested Match any (OR) group adds Owner is Kavya Iyer or Owner is Rahul Kumar. Buttons add a rule or a group, and the field list on the side shows the lead fields the builder offers.
PIPELINE

Track every proposal from quote shared to closed

Shape your stages the way you sell, such as Qualified, Quote shared, Documents pending, Won and Lost, and set rules a deal must meet before it moves, like a next step booked. A won deal needs a close date and a lost one a reason, so you learn why prospects walk away. Reports show leads by source and open pipeline value by stage.

  • Custom stages in one pipeline
  • Stage rules, such as a next step booked
  • Lost reasons captured on every lost deal
  • Leads by source and pipeline by stage
Explore the pipeline
An example of DigiPix Flow's pipeline settings: Qualify, Proposal, Negotiation, Won and Lost stages, each with a colour, win percentage and type, and rules that stop deals skipping stages, require a close date to mark a deal won and lock closed deals.
ROLES & ACCESS

Each advisor sees their own book, managers see the team

Data scopes decide what each role can see across lists, search and reports: an advisor sees their own leads and deals, a team lead sees the team's, and the owner sees everyone's. The same report shows each person only the totals they are allowed to see, and every plan includes multi-factor sign-in to keep client details behind more than a password.

  • Own, team, team hierarchy or everyone
  • Scopes applied to lists, search and reports
  • The same report, scoped to each viewer
  • Multi-factor sign-in on every plan
Explore security
An example of report access in DigiPix Flow: the same pipeline report totals ₹6.4 lakh for a sales rep who sees only their own deals, ₹21.3 lakh for a team lead and ₹48.6 lakh for an admin; separate permissions to view, edit and export reports by role; and audit log entries for an export and a new schedule.
HOW IT WORKS

From an enquiry to a closed sale, in five steps

  1. STEP 01

    Capture and import

Ad and form enquiries arrive, and your Excel book comes in by CSV.

  2. STEP 02

    Check for duplicates

Email and phone matches are flagged before two advisors call.

  3. STEP 03

    Route to an advisor

Rules on source send health, motor and term leads to the right person.

  4. STEP 04

    Call and follow up

Call results book callbacks, and dated follow-ups carry reminders.

  5. STEP 05

    Message with consent

WhatsApp and SMS go only to people who agreed, with DLT checks.

Insurance enquiries arrive from Meta lead ads, Google Ads lead forms and quote-request forms on your website, your existing book comes in by CSV, and SMS goes out checked against your DLT templates.

Insurance agent CRM questions, answered

What should a CRM for insurance agents in India do?

One that keeps every enquiry in one list, stops two advisors calling the same prospect and remembers every callback for you. DigiPix Flow brings Meta ads, Google Ads lead forms, website forms and CSV lists together, flags duplicates on email and phone, routes leads by source and books callbacks from call results, with WhatsApp and SMS sent only with consent.

Does DigiPix Flow manage policies or calculate premiums?

No. DigiPix Flow does not hold your policies, work out or compare premiums, connect to insurers or track commission. It manages the sales work around an enquiry: capture, follow-up, messaging and the pipeline. You keep issuing cover through the insurer's own systems.

Can I import my existing clients from Excel?

Yes. Save the sheet as a CSV file and import it as leads or contacts. Map your columns, add a lead source column so you know where each list came from, and include consent columns if people already agreed to hear from you. Rows whose email already belongs to a lead are skipped.

Can DigiPix Flow remind me when a client's cover is due?

You can add a date field such as 'cover due on' to leads or contacts, and schedule a follow-up for that date with a reminder up to a day before. DigiPix Flow does not create those follow-ups from the date field by itself, so the advisor schedules each one.

Is WhatsApp and SMS messaging to prospects compliant?

DigiPix Flow gives you the controls: consent is recorded per channel and checked again at send time, STOP and other opt-out replies add the number to do-not-contact, every SMS to an Indian number is checked against your registered DLT templates, and automated messages wait overnight. Following the rules that apply to your business remains your responsibility.

Can each advisor see only their own leads?

Yes. Roles carry a data scope of own, team, team hierarchy or everyone, and it applies to lists, search and reports. Advisors see their own book, team leads see their team's, and the owner sees the whole agency.

How do I stop two advisors calling the same prospect?

Every new lead is checked for an exact email or phone match with the leads you already have, and a match is flagged as a possible duplicate for review. Each lead also has one owner, chosen by your assignment rules, so the prospect is called once by the advisor who owns them.

Is client data secure in DigiPix Flow?

Every plan includes multi-factor sign-in, and role-based data scopes limit who can see which clients. Consent and opt-out history is kept on each record, so you can show who agreed to hear from you and when.
