What is the WhatsApp Business app?
The WhatsApp Business app is the free app you download from the app store, much like regular WhatsApp. It adds business tools: a business profile, a catalogue, labels for chats, quick replies, and automatic greeting and away messages. You can link a small number of extra devices, such as WhatsApp Web on a laptop, to the same account.
Its limits show up as a team grows. Everyone shares one phone's chats, there's no record of which rep said what, and broadcast lists only reach people who have saved your number.
What is the WhatsApp Business API?
The WhatsApp Business API, which Meta now calls the WhatsApp Business Platform, is a way for software to send and receive WhatsApp messages on your business number. Most businesses use Meta's Cloud API through a CRM or a messaging provider. There's no app to open. Your team works from the software that's connected to it.
Because messages flow through software, many reps can work from one number at once, each chat can be linked to the right lead or customer, and the full history stays with the business.

The 24-hour customer service window
This is the rule that surprises most teams moving to the API. When a customer messages you, a 24-hour customer service window opens. During that window you can reply with any normal message: text, photos, documents, voice notes. Each new message from the customer restarts the 24 hours.
For example, if a buyer messages at 4:10 pm IST on Tuesday and doesn't write again, you can reply freely until 4:10 pm on Wednesday. After that, you can only restart the conversation with an approved template message. The app has no such rule, which is why reps used to it are often caught out.
Message templates explained
A template is a pre-written message that Meta has reviewed and approved. It can include variables, such as the customer's name or a booking date, which are filled in when you send it. Templates fall into three categories:
- Marketing: offers, announcements, invitations and re-engaging old leads.
- Utility: updates about something the customer asked for, such as a booking confirmation, payment reminder or quotation ready.
- Authentication: one-time passwords and login codes.
An example utility template: "Hi {{1}}, your site visit to {{2}} is confirmed for {{3}}. Reply here if you need to change the time." How WhatsApp API pricing works, as of 2026
Meta's pricing model has changed several times. In 2025 it moved from charging per 24-hour conversation to charging per delivered template message, with the price depending on the template's category and the customer's country. As of 2026, the broad pattern is:
- Marketing templates are the most expensive category.
- Utility and authentication templates cost less, and utility templates sent inside an open customer service window are generally free.
- Normal replies inside the 24-hour window are free.
- Your CRM or messaging provider may add its own charges or include a message allowance.
Rates for India are published on Meta's pricing pages and change from time to time, so check the current rate card rather than relying on figures quoted in older articles.
Opt-in, consent and staying unblocked
Meta's policies require that people have agreed to receive messages from your business before you send them templates. In India, the Digital Personal Data Protection Act, 2023 also expects you to handle personal data with consent. In practice:
- Collect permission clearly, for example with an unticked checkbox on your form.
- Respect STOP and unsubscribe replies immediately.
- Don't send marketing templates to old lists that never agreed to hear from you.

Can you keep using the same number?
Traditionally, a number registered on the API could no longer be used in the WhatsApp Business app. Meta has since introduced an option in some markets to connect a Business app number to the API while keeping the app, with some limitations. Whether you can use it depends on your provider and your account, so ask before you migrate. If you move a number fully to the API, your old chat history on the phone doesn't carry across.
