What are custom fields in a CRM?

Custom fields are extra fields you add to CRM records to hold what your business needs to know, such as budget, property type or site visit date.

Every CRM comes with standard fields: name, phone, email, company, owner, source. Custom fields are the ones you add because your business needs to know something the standard ones do not cover. A real estate team might add budget, preferred locality, property type and site visit date. A coaching institute might add course, class, board and preferred batch. A manufacturer might add product category, monthly quantity and GST number.

Fields come in types, and the type matters. A number field can be added up and filtered by range; a dropdown keeps answers consistent; a date field can drive reminders; a text field accepts anything, which makes it the hardest to report on. Choose the narrowest type that fits. Budget as a number or a set of ranges is far more useful than free text where one rep types 50L and another 0.5 Cr.

Add fields slowly. Every field is something a salesperson must fill in, and a form with thirty fields gets skipped. Start with the few details that decide how you qualify and follow up, make only the essentials mandatory, and remove fields nobody has filled in for three months.
